Quality & Compliance

Airworthiness depends on documentation. Our processes are designed to make sure every part we supply is traceable, correctly certified and lawfully exported.

Our quality commitment

Traceability is not optional.

Our quality procedures are designed to align with industry best practice for aviation parts distributors, including the principles of FAA Advisory Circular 00-56 and the ASA-100 standard.

  • Supplier qualification — we source from established suppliers with documented quality systems, and maintain an approved supplier list that is reviewed regularly.
  • Pre-quote document review — release certificates and trace are requested and reviewed before a quote is confirmed.
  • Records retention — transaction and certification records are retained for every part we sell.
  • Shelf-life control — shelf-life-limited items are checked for cure / expiry dates before shipment.
  • Proper packaging — ESD-sensitive and fragile units are shipped in appropriate ATA 300-style packaging.

Documents we provide

  • FAA Form 8130-3 FAA
  • EASA Form 1 / Dual Release EASA
  • Manufacturer Certificate of Conformity OEM
  • Chain-of-custody / trace documents Trace
  • Non-Incident Statement NIS

Suspected Unapproved Parts

Zero tolerance for unapproved and counterfeit parts.

Any part with incomplete, inconsistent or questionable documentation is rejected. Suspected unapproved parts (SUPs) are quarantined, never sold, and reported to the appropriate authority in line with FAA guidance.

Red-flag screening

We look for pricing far below market, mismatched serial numbers, altered data plates, and missing or inconsistent certificates.

Quarantine & report

Suspect items are segregated, the supplier is suspended pending review, and the case is reported where required.

Customer notification

If any issue is identified with a part already delivered, affected customers are notified promptly.

Export compliance

Lawful exports, every shipment.

As a U.S. company, BES Aero complies with the Export Administration Regulations (EAR) administered by the U.S. Department of Commerce, and with sanctions programs administered by the U.S. Treasury's Office of Foreign Assets Control (OFAC).

  • Classification — each item's export classification (ECCN or EAR99) is determined before shipment.
  • Restricted-party screening — customers, consignees and end users are screened against U.S. government restricted-party lists.
  • End-use checks — we may request end-use / end-user statements and will decline transactions that raise red flags.
  • Electronic Export Information — AES filings are made where required.
  • No defense articles — BES Aero does not trade in ITAR-controlled defense articles or military aircraft parts.

What we ask of our customers

To keep shipments moving smoothly, please be ready to provide:

  • Full legal company name and address
  • Ultimate consignee and end-user details, if different
  • Aircraft type and registration the part is intended for
  • A signed end-use statement for certain items
  • Your import documentation requirements at destination

BES Aero reserves the right to decline any order that cannot be completed in full compliance with U.S. export control and sanctions laws.

FAQ

Common questions

What is an FAA 8130-3 tag?

FAA Form 8130-3 is the Authorized Release Certificate issued by an FAA-approved manufacturer or repair station. It certifies that a part was produced or maintained in accordance with approved data and is in a condition for safe operation.

Can you supply parts with EASA Form 1?

Yes, where available. Many U.S. repair stations hold EASA approval and issue dual-release certificates (8130-3 with EASA Form 1 equivalent). Please specify your requirement in the RFQ so we source accordingly.

What warranty do you offer?

Warranty depends on condition and source and is always stated on our quote. Typical terms are passed through from the manufacturer or repair station. See our Terms & Conditions for details.

Can I see the documents before I buy?

Yes. On request, we provide copies of certificates and trace documents with our quote so your quality team can review them before you issue a purchase order.
